1. Who We Are And Important Information

What is the purpose of this privacy notice?

This privacy notice aims to give you information on how we collect and process your personal data through your use of this website — for example, when you browse the site, make an enquiry, or create and manage an account with us.

This website is not intended for children and we do not knowingly collect data relating to children.

You must read this privacy notice together with any other privacy notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.

Data controller

Paper Monkey LTD is the controller and responsible for your personal data (collectively referred to as CouncilPapers, "we", "us" or "our" in this privacy notice). Our registered office is 59 Glenthorne Rd, London W6 0LJ. For all data protection matters you can contact Jon Aldridge (Director) by email at data.protection@councilpapers.com or by telephone on 5551234.

When we act as a processor rather than a controller

Where your council subscribes to the CouncilPapers service, we process the personal data held within your council's account — including the details of councillors, staff and members of the public contained in agendas, minutes and related documents — on your council's behalf and on its instructions. For that data your council is the data controller and we act as its data processor, under the data processing terms made available to your council within its account. This website privacy notice covers the personal data for which we are the controller, such as data about visitors to this website and the people who manage a council's account and billing with us. We also remain the controller for the technical and security data described in this notice — such as the login records and audit logs we keep to protect and secure the platform — even where that data relates to councillors or staff using a council's account.

Third-party links outside of our control

This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements.

When you leave our website, we encourage you to read the privacy notice of every website you visit.

Your personal data is stored on servers located in the UK. Some of our service providers, however, operate global infrastructure and may process limited personal data outside the UK:

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In some circumstances you can ask us to delete your data: see Your legal rights below for further information. In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
