The calendar, meeting planner and iCal feed

The Meeting Calendar

Go to Meetings in the left-hand menu, then click Calendar to open the Meeting Calendar page.

The calendar shows all meetings for your council in a standard monthly view. Each meeting is shown in its committee colour, with the time and committee name. Click any meeting to go directly to its View Meeting page.

Three view options are available in the top right:

View What it shows
Month A full calendar month — the default view
Week A seven-day view
Day A single day view

Use the and buttons to navigate between periods, or click Today to return to the current date.

The calendar requires no setup — it populates automatically from the meetings already in the system.

The iCal feed

At the bottom of the calendar page, click iCal feed for Calendar to access the iCal subscription URL for your council.

The iCal feed can be added to any calendar application that supports iCal subscriptions — Google Calendar, Apple Calendar, Outlook, and most others. Once subscribed, meetings will appear automatically in the external calendar.

The feed covers all committees and uses a single URL per council in the format:

councilpapers.com/ical/[your-council-permalink]

Note: the iCal feed includes meetings within a limited window of a couple of months. It is designed for near-term visibility rather than a full year-ahead view.

The Meeting Year Planner

The Meeting Year Planner gives a full-year overview of all meetings week by week, including publication deadlines and bank holidays.

To access it, go to Meetings in the left-hand menu and click Meeting Planner.

The planner shows:

  • Every meeting in the year, grouped by ISO week
  • The committee name, date, time and venue for each meeting
  • The publication deadline for each meeting (Publish by...), calculated from your council's minimum clear working days setting
  • Bank holidays for your council's region
  • A summary at the top showing total meetings, active weeks, bank holidays, and ISO weeks in the year
  • Committee filter buttons to show all meetings or limit to specific committees

Use the ‹ [year] and [year] › buttons to navigate between years.

Generating the PDF

Click the printer icon in the top right of the Meeting Planner to generate a one-page landscape PDF of the full year's meeting schedule. This is useful for:

  • Posting on the council notice board
  • Sharing with councillors at the start of the year
  • Including in council publications

The PDF is generated on demand and reflects the current state of the meetings in the system.
