My Actions

How a councillor sees and tracks the matters they have been allocated to action following meetings - the My Actions view.

Procedure Councillor

What My Actions is

After a meeting there are often tasks to carry out before the next one. When the clerk records one of these and allocates it to you, it appears in My Actions - your personal list of the matters you have been asked to action. Keeping a list like this follows the guidance in NALC's Local Councils Explained on matters that need action.

My Actions is read-only: it shows the matters, but the clerk raises and manages them. You can look at just your own matters or at everything the council has on its action sheet (see below) - but only the clerk can change a matter.

Opening My Actions

Click My Actions in the top menu. The heading shows how many matters are listed and how many are overdue.

My actions and all actions

At the top of the page there is a toggle:

  • My actions (the default) - just the matters allocated to you.
  • All actions - every matter on the council's action sheet, whoever it is allocated to, so you can see what the whole council is working on.

In the All actions view each matter shows who it is allocated to, with a You marker on the ones that are yours. One point to note: another person's matter only appears here once the minutes it arose from have been published - matters tied to a meeting whose minutes are still in draft stay private to the person allocated them until then.

The list

Each matter is listed with:

Column What it shows
Priority How pressing the task is - Low, Medium, High or Urgent
Matter The task, with a short preview of any detail and - depending on the view - who it is shared with or allocated to
Arising from The agenda item and meeting it came from
Due The deadline, if one was set
Status Open, In progress, Completed or Cancelled

A matter whose due date has passed and which is not yet complete is flagged Overdue and its row is highlighted, so the most pressing tasks stand out.

Filtering and sorting

When you have more than a handful of matters, use the controls above the list to focus:

  • Status - show only Open, In progress, Completed or Cancelled matters.
  • Committee - show only matters arising from a particular committee.
  • Sort by - order the list by priority (highest first), by due date (soonest first), or by the date each was raised (newest first).

Click Clear filters to return to the full list. Your choices are remembered as you move between a matter and the list.

Opening a matter

Click a matter's title to open it in full. The detail view shows the complete task description - which may be longer than the preview in the list - along with its priority, status, the date it was raised, its due date, the committee it relates to, and anyone else it is shared with.

From here, View in meeting takes you straight to the meeting it arose from, scrolled to the relevant item, so you can read the agenda text and minute behind the task. Back to My Actions returns you to your list with your filters still applied.

Seeing actions on the meeting page

Matters also appear against the item they arose from on the meeting page, once the minutes for that meeting have been published. An item with matters shows a small indicator; open the Matters requiring Action panel beneath it to see what needs doing, who it is allocated to, and when it is due. See Inside a meeting.

Who manages your actions

You cannot change a matter yourself. If a task is complete, or you think something is wrong - the wrong person is allocated, or the detail needs correcting - let the clerk know, and they will update it on the council's action sheet.
