Reference Clerk
Where to find it
Open any councillor's profile - People > Councillors, then click the councillor - and look for the Attendance Summary card. It shows how that councillor has attended meetings across the current council cycle.
What it shows
The summary chart breaks down the councillor's attendance for the cycle into four buckets:
- Present - recorded as present at the meeting
- Excused - sent apologies
- Absent - did not attend and did not send apologies
- Not recorded - the councillor was listed on the meeting, but no attendance status was ever entered for them
The Not recorded bucket is worth watching. It means no status was entered for the councillor, rather than that they were away - either because attendance was never completed for a past meeting, or simply because that meeting's minutes have not been written yet. If the count looks high for meetings that are already done, check back through them and record the missing statuses - see Recording attendance.
The recent-meetings table beneath the chart lists the councillor's most recent meetings with a recorded attendance status, showing the date, the committee, and the status for each.
Which meetings count
The summary covers the current council cycle only, and it counts all meeting types the councillor was listed on - Full Council, committees and working groups alike.
This is different from the council-wide Recent attendance report, which looks across all cycles but counts only Full Council and committee meetings for the purposes of the statutory six-month rule. Because the two reports deliberately count different sets of meetings, the same councillor's figures will not always match between them - each is answering a different question.
If the summary is empty
The summary is built around the council cycle that covers today's date. If today happens to fall outside every cycle you have defined, there is no "current cycle" to report on and the card will be empty. Adding or adjusting your council cycles so that the current date falls within one will restore it.
